While Reports can be accessed on demand at any time through the Reports tab, Scheduling reports means the file is created and sent out automatically. This is a great option for the reports that need to be routinely reviewed. No need to remember to access a report, it simply shows up as scheduled. Scheduled Reports are set up within the Reports section, through the tab at the top marked ‘Scheduled’.
To set up a Scheduled Report, click the plus (+) in the upper left corner.
A series of fields will then appear on the right. The first step is to provide a unique name for the Scheduled Report. Because multiple reports can be set up, the name is needed to tell the entries apart. After inputting the Name, select the Report Type desired on the dropdown menu. Be sure to fill in any additional filters that appear, then click Next.
The second step is to establish the Frequency for the report. Scheduling options are Daily, Weekly or Monthly. This includes being able to select the precise days and even the time of day the report is generated.
Within Frequency, options are available to not only select which days of the week to include in the report but also to set time frames for each day. For example, a report might be set to show the Mileage accumulated on Mondays, Tuesdays and Wednesdays but only those miles that occurred between 7 am and 7 pm.
To set time frames, first select the days in questions by clicking the initial to the left.
Then for each day set the start and end times.
To set the same times across the week, click the button at the top.
By using the plus button to the left of each day, multiple time slots can be set per day if needed.
Step three is to select the Units or Drivers the report should focus on. Both Units and Drivers are organized by Tags. Selections can be made individually, by Tags or all the items at once. As a reminder, in order to utilize Driver reports the Driver feature within Manage must be used.
The Subscribers sections to choose who receives the Report when sent. As many recipients as needed can be chosen. To receive a Scheduled Report, the recipient must be listed as a Contact within the Account tab.
Lastly, choose the format of the report. This can be either a clickable link or an attached file. Sending as an attached file will send the data of the report via email to the recipient. Sending as a clickable link will require the recipient to login in order to view the data. Then choose between PDF, HTML, CSV or *FTP (this is an uncommon solution, pushing the report data into 3rd party systems).
Be sure to save the choices. Once saved the Scheduled Report will be automatically sent out using the schedule selected.

All scheduled reports can be edited or deleted if changes become necessary. To edit, hover the mouse over the report and click on the 3-dot button that then appears. The edit option will now be displayed. To delete a Scheduled Report, click the box to the left then the trashcan icon at the top of the page.
