GPS Trackit is pleased to partner with WEX fuel cards. This integration brings WEX data into the GPS software, where it can be viewed in context with the vehicle tracking.
*Note: GPS Trackit supports two types of WEX fuel card integration, Fleet and EFS. The directions below apply only to EFS type accounts.
Customers using EFS must first login to their EFS Manager Portal, access the Data Sharing Preferences page and add GPS Trackit. This will require acknowledgement and agreement to the privacy waiver allowing GPS Trackit to utilize the data.
Once submitted the request will be sent to WEX for processing, which may take up to 5 business days for the data feed to be set up (or removed, if requested). Successful processing will trigger an email containing the information required to proceed with the integration.
On integration approval, WEX will provide a username and password which must in turn be provided to GPS Trackit in order to add the EFS feature to the account.
The above process applies only to EFS accounts. For Fleet account integration please Contact GPS Trackit directly.
This process begins in the Manage Tab, in the Fuel Card section. Fuel Cards are listed for pairing to either a Unit or a Driver. The cards appear after the integration between Wex and GPS Trackit is complete. There is no mechanism to manually add a card. This must be done by GPS Trackit. Please contact Care if cards are missing.
Fuel cards are paired to either Units or Drivers. Pairing to a Unit allows purchases to be matched to certain vehicles. Or the cards can be assigned to Drivers, to track who makes which purchases. Assigning a card to the Driver will require use of the Drivers feature. Please be aware that the cards must all either be assigned to Units or to Drivers. They cannot be mixed and matched as this will cause issues when running the Fuel Card report.
Each of the Fuel cards will be listed here. To edit the Unit or Driver assignment for the Fuel Card, hover the mouse over the card and click on the 3-dot button that appears. Then click Edit. A dropdown menu will appear on the right. Use this to select either a Unit or a Driver.
When selecting Unit, two more fields will appear. Use the Unit Dropdown to pick the vehicle to assign the card and use the Tank Size field to input the fuel tank size. Make sure to Save the settings.
The other option is to pair a Driver to the Fuel Card. This will be the same mechanism as before, clicking the 3-dot button to access the Edit function. Please note, Tank size will not be required if assigning the card to a Driver. GPS Trackit recommends assigning the Fuel cards to vehicles if the Drivers consistently use the same vehicle every day. If the Drivers move between vehicles, the card should be assigned to Drivers instead.
To see the purchase data, use the Fuel Card Report. This is found in the Reports tab. To get started, click on the Report Type field on the right. The Fuel Card Report will be near the bottom of the list, in the ‘Other’ section.
Select the report, then move to the Timeframe field. Time Frame is used to indicate the scope of the data you’re looking for. A particular day? A week? Several months? And chose the Units or Drivers in question. This of course will depend on how the cards were assigned. Finally, pick how the data should be viewed. The Web option will display the report on the screen while CSV and PDF will produce files to open and save.
In addition to Reports, Alerts are also available for Fuel Cards: Overfill and Not At Location. Both of these Alerts depend on assigning the cards to Units, not Drivers.
As with all Alerts, creation and management is controlled via the bell icon in the upper right corner.
To set up the Alerts, click on Fuel Card. Two triggers are available:
Not At Location would trigger if the location of the card used doesn’t match the location of the unit it’s paired with. The system is specifically matching the address and time of the next recorded Event from the GPS against the address and time of the purchase. Please note, the purchase data is obtained from the fuel card provider. GPS Trackit has no control over the accuracy of data obtained from third parties and cannot guarantee that no false positives will occur.
Overfill indicates more fuel was purchased than the tank size entered into the system.
