GPS Trackit offers a mobile app for GPS Tracking, called GPS Trackit Cloud. This app is a free download, available for Android and iOS. The app is identical on both operating systems.
As with any app, tap on it to open. Use the same login credentials as are used for the regular software platform. Please be sure that the very first login is done on the software platform, as there is an authentication process that can’t be carried out via the app.
When logging into the app, the starting point will be the Map section as seen on the left menu.
Map will show you where the Units are and what they are currently doing. The units will be organized by Tags. Tap on a Tag to see the specific units within it. Then choose a unit for further details. When a unit is tapped on, the map will zoom to that location. The map will update itself as new information is reported by the unit. The unit may move while being watched.
For access to vehicle trails, tap on Recent Trips then select an Event. For example getting a visible breadcrumb trail of a route driven or stops made. Then input a time frame, both by date and times. Select Follow Trail to see the Trail line.
The first 50 entries of the Trail will now be visible. Use the Events dropdown at the top of the page to move to the next set of entries. Buttons at the top are used to toggle between the List view and the Map View. To play back the Trail, use the play button at the bottom of the page.
Trails can also be accessed directly via the Trails button to the left. Find the vehicle in question by either tapping on a Tag. Or use the search field at the top to find a specific unit name. Make sure to tap ‘See All’ before using the search bar. Tap the vehicle in question to be returned to the Map to run the Trail.
When viewing the map, there are options available in the upper right corner seen as a series of buttons. The Gear icon provides settings for the map, such as whether the Unit Labels should be showing or if the Cluster function is turned on.
The i icon will provide a key to the symbols on the map.
The layer icon is where the map view can be changed, along with displaying the weather.
And finally, the location icon will zoom the map to the location of the phone or tablet being used to access the app.
Directions
To access the Directions function directly, tap on Directions on the left hand menu. Directions can be calculated either from or to a specific location. For example, please find directions from a vehicle’s current location to a certain address. Or from a current address to a certain Landmark.
To review the current status of the units (Parked, Moving, etc…) tap the Status option on the left-hand menu. The vehicles will be sorted by Tags. To see all units at once, just tap See All to the right.
The unit name, last known location and date/time of last reading will be listed to the left with the most recent status to the right.
Tapping on the unit will return the app to the unit location in the Map section.
The GPS Trackit Maintenance feature can be accessed via the mobile app, through the Menu button. This is particularly helpful for logging Maintenance in the field. Rather than having to take paperwork back to a computer terminal to update the records, maintenance can be recorded and reminders set directly from a phone or tablet while at the vehicle.
Tap Menu, then Maintenance. Tapping Maintenance will display the units. The icon to the right will show if the unit has any upcoming or past due services attached. Services are work items to be performed on the vehicle, such as oil changes or tire rotations.
For Maintenance to work properly, the Services must be created in the system and then attached to the relevant vehicles. This can be done here in the mobile app OR on the web-based software platform.
Tap on Services to both set up new Services and view/edit the ones that already exist. To create a Service, tap the plus button in the upper right corner.
Each Service will need a unique name. This name goes in the title field. The next field is the Estimated Cost. If there is no estimated cost for the service, please fill in a 0. The interval between services can be set by miles, days or engine hours. More than one interval can be set at one time. For example, the service interval could be 600 miles traveled OR 45 days, whichever milestone is reached first.
Tap on the Alert Interval field and select Miles from the pop up. For this example, the service will be set to be performed every 600 miles, which should be filled into the Alert Every field. Next set the reminder that the service is coming up. Let’s set that reminder for 550 miles in the Remind At field. Last, define when the Service will be considered late. This example will use 650 miles. Click Add Interval to save.
To add another interval to the Service, click Interval Type again and repeat the above actions with appropriate parameters.
When triggered, the Alerts will go to the Subscribers selected in the Alert Contacts fields. Tap the field to see the available choices. All entries from the Contact list (created on the software platform) should be listed. Each Contact can potentially receive three Alerts: a Reminder that the Service is coming up, a notice that the service is now Due and if necessary, a reminder that the Service is now Past Due. Use the checkboxes at the bottom to determine exactly which of the Alerts the chosen person should receive. After checking the appropriate boxes, tap Ok on the right and then Save. To add another person to the Alert, tap the Alert Contacts field again.
Additional notes and instructions can be added in the Notes field. If desired, attachments such as receipts or invoices can be uploaded to the Service using the Attachments field. Tap ‘Save’ to Save the Service.
Create as many unique Services as needed. Determining which Services to create will depend on the unique needs of the vehicle fleet. Services can be edited and deleted as needed. Just tap the arrow to the right of the service. To remove the service, use the Delete Service button at the bottom.
Once Services have been created, they must be attached where needed. Use the Vehicles section for this action. When viewing the vehicle list, the status of attached services can be seen on the right. To view the details for a particular vehicle or to attach a service, tap the vehicle in question.
After selecting the vehicle, the scheduled services can be viewed along with the options to attach more services as well as marking services ‘complete’ as they’re performed. To schedule a service to a vehicle, tap on Schedule.
Select the service desired and then the last known date it was performed. The Odometer and Engine Hours fields refer to the odometer and engine hours at the time that last service of this type was performed and should be filled in as best as possible. This information is needed to ensure that the alerts are triggered at the correct interval. If Engine Hours are not being tracked, please enter a 1 into this field. Make any notes needed in the Notes field.
Alert Contacts will show the recipients selected to receive the alerts for this Service. If adjustments are needed regarding Alerts for this specific vehicle, those changes can be made here. Press Schedule to save the service.
As Services are completed, the software will need to be updated to not only reflect that the work is complete but also to reset the reminder for the next time. The first step is to select the vehicle in question. The Service list for the vehicle will now be displayed.
Tap the Complete Service button, then use the Service field to indicate *which* service has been completed.
In the first field, fill in the date the Service was performed and the time completed. Next, fill in the Odometer reading and Engine Hours at the time of Service. If Engine Hours are not being tracked, fill in a ‘1’.
If Service Items are being used, these are filled in next. As many Service items as needed can be selected. The Parts and Labor cost fields will be required for each Service Item selected. The software will automatically total up the costs entered.
Below the Total Cost field is a check box called Reschedule Next Maintenance. If the Service being completed is something recurring (such as an oil change), check this box to re-set the reminder for the next time it will be needed. The software will look at the parameters of the service, when it was last performed and automatically calculate the next Due Date/Odometer/Engine hours for the next service. Finally, make any notes and upload any attachments needed before Saving.
To remove a Service from the vehicle completely, just click the trashcan icon to the right. To view the vehicle’s service history, tap the link at the bottom of the screen.
Alerts can be managed from the Cloud app. To do so, tap Menu.
Then select Alerts.
To create new Alerts or manage existing ones, tap the wrench icon in the upper right corner.
Each existing Alerts can be edited or deleted as needed using the icons on the right side.
To build a new Alert, tap the wrench icon and then tap the plus (+) button.
Now select the Alert Type. For a full list of available alerts, please Click Here.
Below this, input a unique Alert Name and set a Severity.
Next, set the trigger specifications and when the Alert should be active.
Now set a Total Daily Limit (if desired), which Units to assign the Alert to and which Contacts should receive the Alert. To CC the alert to the assigned Driver, make sure the Current Driver checkbox has been selected.
Press Save when complete.
The last piece of the GPS Trackit Cloud Mobile app is the Help section. Help is located in the Menu button. Help provides the phone number of the GPS Trackit Care Team, along with access to the live chat. To log out of the app, tap on Menu and then the Account button.
