The GPS Trackit Driver application allows for the creation and field completion of customizable forms. Need the driver to inventory their vehicle tools every morning before departure? Should customers sign off on repair work? Looking to set up electronic order forms? Forms is the answer! A Driver in the field simply signs into their app, fills out the necessary information and makes an immediate electronic submission. No more waiting on a technician to return with physical paperwork
Use of Forms begins with their creation. Build as many forms as are necessary. GPS Trackit does not limit the available forms. The forms are completely customizable with multiple variables and therefore are not pre-loaded on the software.
Forms are created within the Forms tab on the left-hand menu. Click Forms, then the plus (+) Button in the upper left corner.
The first section of the form creation are the Parameters.
Every form will need a unique name and description.
To organize the forms, use Tags. A form can be cross-referenced with as many Tags as needed. Please be aware that when Drivers log into their app, they can only access forms that they share tags with. If a Driver reports that forms aren’t appearing for them, please check the Tag configurations.
If desired, saving the form as a draft can be enabled. If a Driver starts a form but then needs to delay completion, they can save their progress without having to restart from the beginning. This applies to Form creation as well, via the Active toggle. Forms won’t be available to the drivers until this toggle is set to Yes. Forms can be deactivated at any time to remove them from circulation.
Once the Parameters are set, it’s time to move onto entering the Questions.
Questions can be used to solicit a variety of information, from customer names to dates of service. Questions come in 13 formats:
- Text: A simple piece of text. Example: First Name
- Text Area: Space for a larger block of text. Example: A detailed description of work performed.
- Email: Document an email address
- Yes/No: Choose between two options. For example: A piece of equipment is present or not present
- Picture: Take a photo. Example: proof of damage found
- Signature: A Driver or a Customer can trace their finger over the tablet/phone to sign the documented information.
- Number: Numeric information, such as a price. Example: $99.99
- Phone: Number formatted as a phone number
- Date/Time: Documenting Date & Time. Example: When work was completed or when a Driver arrived on site.
- Date: Documenting Date only.
- Time: Documenting Time only.
- Dropdown: Driver is presented with choices in a drop-down format.
- Checkbox: Driver is presented with choices as a series of checkboxes.
Choose the desired question type from the menu to the right-hand side and drag it into position on the form.
As each question is dragged over, the customization fields will appear to the right. The exact fields provided will vary depending on the question type chosen. These fields will be used to input the actual question being asked or detail the date being sought. Placeholder text is available, allowing for sample answers to be placed as a guide for the form user. Help text can also be input. Options to make the answer required OR to set it to Read Only are also available. Do not enable both at once, as they are incompatible with each other.
Once placed, the questions can be dragged and dropped to customize the layout.
Forms with a large number of questions can be split into separate pages using the green plus button in the upper left corner. Each page will need a unique title.
Page 1 is created automatically. To customize the page title, hover over and click on it. Then enter the new title and click the checkmark to the right.
To save the form, press the blue Save button in the lower right corner.
Forms can be edited or deleted at any time by hovering the mouse over the form to produce a 3-dot button. Click the button to access the options. This same button will also allow the form to be copied and/or re-named.
To view completed forms, click the Answers tab within the Forms section.
Filters are available on the right via the arrow. Completed forms can be sorted by the form title, the Driver who completed the form and date range.
Once the desired form has been located, either click directly on the form title to view the answers OR hover and click the 3-dot button that appears.
To save or print the form use the download button in the upper right corner.
Completed Forms can also be accessed and downloaded via Reports.
