DVIRs (Driver Vehicle Inspection Records) are the required pre and post trip vehicle inspections. These are input via the left hand menu.
To begin, tap DVIR.
To begin the inspection, tap the plus button in the upper right corner.
Select the Type Form.
The Apollo software provides a standard checklist to use when completing the inspections for the Tractor and the Trailer. These checklists can be replaced with custom templates via the Admin Portal.
The Tractor inspection will be presented first, labeled as Vehicle Info. Each item should be examined and if no problems are found, the checkbox should remain blank.
If problems are found, the box should be checked.
The Tractor and Trailer are inspected on separate checklists. When done inspecting the Tractor, tap Trailer Info to switch to the Trailer checklist and perform the trailer inspection.
If no Trailer is being used, tap Inspection Info to go directly to the summary section of the inspection. If a Trailer was selected then a second checklist will need to be completed as well.
Once the checklist(s) are completed the inspection needs to be summarized and submitted, beginning with verifying that the odometer entry is correct.
If pulling a Trailer with a Seal, enter the seal number. This field can be skipped if not applicable.
Use the Remark field to add the comments regarding the inspection. If Defects were noted then the Remarks field must be used to provide details.
A status for the inspection will now need to be selected.
The inspection will need to be e-signed via the appropriate button. To enter a signature, tap the pen icon button.
Sign by tracing a finger in on the phone or tablet being used. Both the Driver and Carrier will need to ensure their name is typed in along with the traced signature.
Save the signature by tapping ‘Save’.
If any pictures are needed they can be input via the Camera button.
To activate the camera tap the plus button in the upper right corner.
After taking the photo tap ‘Use Photo’. Up to 9 photos can be taken per inspection. When done taking pictures tap the Back arrow.
The final step is to submit the inspection to the Admin Portal via the ‘Upload button.’ Please be aware that the process cannot be undone. Ensure the inspection is correct and complete before uploading.
After uploading, a PDF of the inspection will be displayed on the screen. Just hit ‘Done’ to exit.
If no problems were noted during the inspection then at this point nothing else will need to be done. However, if problems are logged then additional steps will be needed.
When defects have been noted, then no additional inspections can be conducted until the defect has been resolved. The presence of a defect is indicated by a pink tag on the listed inspection.
If a Defect is still pending for the select Tractor or Trailer clicking the plus button will produce an Alert to review the DVIR and resolve the issue.
At this stage the repairing of the defects will need to be logged. Use the Select Inspector field to indicate who is taking care of the defect: the Driver, a Mechanic or Other.
Once the defect(s) have been repaired locate the item on the checklist and change the status to Made. If no repair was required, select Not Needed.
After addressing any Tractor defects tap ‘Trailer’ at the top of the screen. If a Trailer was selected the checklist will reappear even if no defects were noted. If Defects have been noted, ensure they are addressed. Then tap Finalize.
Once again the inspection will need to be summarized before being uploaded. The status should be set to ‘Defects Corrected’.
Unlike the initial inspection, the e-sign signature must be manually applied.
If needed take any pictures and as before, upload when ready.
Once the repair of the defects has been logged and uploaded, one step remains: returning the vehicle to service. Once more press the Plus button within DVIR.
As before the Alert regarding a pending DVIR will be displayed.
Verify that the notations of ‘Repair Made’ or ‘Repair Not Need’ are indeed correctly entered. Then press Next.
One more time the inspection will need to be reviewed and uploaded. At this time the status should be changed to ‘Condition Of The Vehicle Is Satisfactory.’
Provide a manual signature, add any relevant photos and upload the inspection.
The inspection process can now be re-started as needed for the next required pre or post trip inspection.
